Job Responsibilities
- Answer and direct phone calls, emails, and inquiries in a professional manner
- Manage office supplies inventory and place orders as needed to ensure availability
- Schedule meetings, appointments, and travel arrangements for staff
- Maintain and organize office files, both digital and physical, ensuring easy access and proper documentation
- Prepare and process reports, invoices, and other business documents
- Assist with basic human resources tasks, such as onboarding and payroll preparation
- Coordinate office events and meetings, including booking venues, arranging catering, and ensuring all necessary materials are provided
- Handle incoming and outgoing mail, ensuring timely distribution
- Assist with managing office equipment and troubleshooting minor issues
- Support various departments as needed, performing general administrative duties and ad hoc tasks
Job Qualifications
- A high school diploma or equivalent is required; a degree in business administration or related field is preferred
- Previous experience in an administrative role or office setting is beneficial
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office equipment is essential
- Strong attention to detail, the ability to multitask, and excellent time management skills are a must
- The ideal candidate should be able to work independently, handle confidential information with discretion, and be proactive in addressing office needs
