
You can cancel QuickBooks Payroll through the QuickBooks Online billing page or the Intuit account portal, depending on your payroll product. Before submitting the request, process your final payroll, download your records, and confirm which provider will handle pending tax deposits, quarterly returns, and year-end forms.

Before you cancel QuickBooks Payroll
Start by identifying the payroll product connected to your account. QuickBooks Workforce and the QuickBooks Desktop Payroll products have different cancellation paths and post-cancellation access rules.

Before canceling:
Process your final QuickBooks payroll.
Print or export the reports you need.
Pay outstanding payroll tax deposits if you handle your own payments.
File outstanding quarterly or annual forms if you handle your own filings.
Review pending direct deposits, tax payments, and scheduled payrolls.
Canceling the subscription does not resolve every open payroll or tax task. Check your payroll calendar and filing status before submitting the request.
Confirm the payroll tax handoff.
A mid-quarter or mid-year move requires coordination between QuickBooks, the new provider, and your business.

Use check dates rather than pay-period dates when determining the quarter in which payroll belongs.
Get the answers in writing. Account-specific elections, payments already made, and state filing procedures can affect the handoff.
Understand the possible $150 year-end charge.
Intuit states that QuickBooks Workforce and QuickBooks Desktop Payroll Assisted customers are charged $150 if they ask Intuit to prepare year-end filings and/or W-2s after cancellation.
This is not described as a universal cancellation fee. It applies to the specified year-end preparation request.
Before authorizing year-end work, confirm which provider will prepare the forms. When complete year-to-date records are entered during a move to Gusto, Gusto’s onboarding guidance assigns the year-end forms to Gusto.
Keep the payroll bank account open when Intuit has unfinished tax work
When Intuit pays and files payroll taxes for your account, keep the linked bank account open until its remaining tax debits have cleared.
Intuit states that outstanding liabilities, including applicable annual liabilities, are paid when it processes the cancellation form. Closing the account too early could prevent a scheduled debit from being completed.
Confirm that you have permission to cancel
For QuickBooks Workforce, the cancellation option may not appear unless you are signed in as the Master Administrator or Company Administrator.
An accounting firm may control billing by purchasing the subscription for you. In that situation, contact the accountant or firm responsible for the subscription.
Can you keep QuickBooks Online accounting?
The QuickBooks Workforce cancellation path is separate from the QuickBooks Online accounting cancellation controls.
Review every item under Subscriptions and billing, and confirm that you are canceling only the payroll subscription. This is particularly important when an accountant manages billing or when the products were purchased together.
How to export your payroll data from QuickBooks
Save your records before canceling, even when Intuit provides temporary post-cancellation access. A local archive helps protect the business if an administrator leaves, credentials change, or a report is no longer available in the format you need.
At a minimum, preserve:
Employee names, addresses, Social Security numbers, hire dates, termination dates, and compensation
Current-year payroll summaries and employee payroll history
Quarter-to-date and year-to-date wages and taxes
Employee deductions and employer contributions
Federal, state, and local tax-payment records
Forms 941 and 940
State and local payroll tax returns
W-2, W-3, and 1099 forms
Paid-time-off policies and balances
Garnishments and child-support orders
Workers’ compensation reports, when applicable
Pay schedules and the next scheduled pay date
Payroll-related chart-of-accounts, class, department, job, or project settings

Reports for a move from QuickBooks Workforce
Gusto’s payroll-transfer workflow accepts two reports from QuickBooks Online Payroll:
Employee Details, saved as a PDF
Payroll Summary by Employee, saved as a CSV
Export the Employee Details report
Sign in to QuickBooks Online.
Open Reports.
Search for Employee Details.
Select Customize.
Select All Employees and All Locations.
Run the report.
Display the Social Security numbers and complete two-step verification if prompted.
Export the report as a PDF.
Include active employees and former employees who received wages during the current year.
Export the Payroll Summary by Employee report
Open Reports.
Select Payroll Summary by Employee.
If the report is unavailable, open Payroll Details and follow the link to the employee-summary version.
Set the necessary date range.
Select Customize.
Include all employees, including former employees paid during the year.
Run the report.
Download it as a CSV.
For a mid-year move, include the full current calendar year.
Reports for a move from QuickBooks Desktop Payroll
Gusto’s transfer workflow uses the Employee Contact List and Payroll Summary from QuickBooks Desktop.
Export the Employee Contact List
In QuickBooks Desktop, select Reports.
Point to Employees & Payroll.
Select Employee Contact List.
Select Customize Report.
Add the fields required for onboarding, including names, Social Security numbers, contact information, dates, compensation, earning rates, and job titles.
Open the Filters tab.
Remove the Active Status filter to include former employees.
Save the report as a CSV.
Export the Payroll Summary
Select Reports.
Point to Employees & Payroll.
Open Payroll Summary.
Set the check-date range.
Refresh the report.
Select the Excel dropdown.
Choose Create New Worksheet.
Create the report in a new workbook.
Export it as a CSV or Excel file.
Download a separate records archive.
The two transfer reports are not a complete record archive. Separately save:

Follow the procedure for your payroll product.
How to cancel QuickBooks Workforce
Sign in to QuickBooks with an administrator account.
Select the Settings gear.
Select Subscriptions and billing.
Find the Payroll section.
Select Cancel.
Complete the online cancellation form.
Review the information and submit it.
Intuit states that it cannot change the cancellation form after submission.
If Intuit pays and files your taxes, keep the linked bank account open while the request is processed. Intuit says it sends an email after reviewing the request—generally within three business days—and another when cancellation is complete.
Save both emails with your payroll records.
How to cancel QuickBooks Desktop Payroll Assisted
Sign in to your Intuit account.
Open Products & Services.
Find the payroll subscription.
Select Details next to the subscription status.
Select Cancel Service.
Follow the instructions in the portal.
Customers with an Assisted Diamond subscription covering one or more employer identification numbers may need to contact QuickBooks support.
After Intuit confirms the cancellation:
Open the applicable QuickBooks Desktop company file.
Select Employees.
Select Send Payroll Data.
Select Send.
Do not remove Assisted Payroll from the company file until Intuit confirms that the service has been canceled.
How to cancel QuickBooks Desktop Payroll Enhanced, Standard, or Basic
Intuit provides two paths.
Option 1: Cancel through the company file
Open the QuickBooks Desktop company file.
Select Employees.
Select My Payroll Service.
Select Account/Billing Info.
Sign in to your Intuit account.
When the Account Portal opens, select Cancel Service.
Follow the on-screen instructions.
Intuit identifies the company-file process as its preferred method.
Option 2: Cancel through the Intuit account portal
Use this option when you cannot access the company file.

Select Details next to the payroll subscription.

QuickBooks Desktop software, payroll services, support plans, and other Intuit products may be billed separately. Verify the exact product name before canceling.
What happens after you cancel QuickBooks Payroll?
Post-cancellation access depends on the product.

Desktop Payroll Assisted customers generally need the company EIN and Payroll PIN to enter the Canceled Client Payroll Tax Center.
If a return is missing or the credentials are unavailable, Intuit directs customers to its Tax Copy Request Form.
Save tax forms that cannot be recreated.
QuickBooks Desktop Payroll Enhanced, Standard, and Basic customers should save all tax forms created or e-filed before cancellation.

Intuit’s public documentation does not establish one refund, contract, or final-billing rule for every QuickBooks Payroll customer. Review your invoice, order terms, billing frequency, and account-specific agreement.
Common QuickBooks Payroll cancellation issues
The Cancel button does not appear.
Verify that you are signed in as the Master Administrator or Company Administrator.
When an accountant purchases or manages the subscription, that accountant may need to cancel it or transfer billing control.
You submitted the form, but you do not know whether the service ended
Submitting the form begins the process. It does not necessarily mean the subscription has ended.
Intuit says it sends one email after reviewing the request and another after completing it. Keep the emails, screenshots, submission confirmation, and any support case number together.
Intuit still needs to debit payroll taxes.
A tax debit after the request is not necessarily a new subscription charge. Intuit may still collect outstanding liabilities while processing a full-service payroll cancellation.
Keep sufficient funds in the linked account until Intuit confirms that its payment work is complete.
You are switching during a quarter.
Confirm the handoff using check dates. Under Gusto’s documented onboarding model, the former provider files completed quarters, while Gusto files the quarter containing the first Gusto check date and subsequent quarters.
Confirm this arrangement with both providers because taxes already collected, state-specific procedures, or account selections may affect the transition.
You must decide who prepares W-2s
When a business switches to Gusto during the year and provides complete prior payroll information, Gusto states that it prepares full-year W-2s and other year-end forms.
Tell QuickBooks not to prepare competing year-end forms once Gusto has accepted responsibility for them.
You still see QuickBooks charges.
Check the product name on the invoice. QuickBooks Online accounting, QuickBooks Desktop, payroll, QuickBooks Time, payments, bookkeeping services, and other add-ons can appear as separate charges.
Canceling the payroll service does not cancel every Intuit subscription.

Keep QuickBooks for accounting.
Moving payroll does not require moving the company’s accounting system.
Gusto can create and sync payroll journal entries to QuickBooks Online after payroll is processed. During setup, the administrator maps Gusto payroll categories to the QuickBooks chart of accounts. Journal entries can be organized by employee, department, job, or a Gusto Project, and QuickBooks classes can be assigned in supported configurations.
Gusto Projects do not sync directly with the QuickBooks Projects feature.
For QuickBooks Desktop, Gusto provides an Intuit Interchange Format file after payroll. The administrator downloads the file from Gusto and imports it into QuickBooks Desktop.
Review the first journal entry or file import before relying on the recurring process.

Will I lose my payroll data when I cancel?
Not immediately. QuickBooks Workforce provides payroll data access for 1 year after cancellation. Desktop Payroll Assisted provides online access to payroll tax returns filed for the past 12 months. Desktop Enhanced, Standard, and Basic retain payroll data, but tax forms cannot be recreated.
