What to include in an employee recognition letter?

Each employee recognition letter is unique, but there are a couple of common elements: it should have a clear purpose, and be authentic. In smaller and mid-sized organizations where the employee is known to senior leaders, a letter from the president or CEO is appropriate. In larger organizations, the letter may come from a supervisor or regional manager who knows the employee. Below are some of the key components to include in your employee appreciation letters.

Explanation of purpose

This part of the letter contains the reason why it is being sent, and it should be included at the beginning of the letter. It provides clarity of purpose and sets the tone for the remainder of the communication.

Genuine emotion

Authentic, sincere emotion is the hallmark of a good letter of appreciation. The letter can express gratitude, congratulations, support, and encouragement. Here is an example:

The Simons account, as you know, will mean a great deal to all of us. Personally, it’s tremendously meaningful, as I’ve long wanted to work with a customer of their size and market reach. I am very grateful for all you have done to close this contract.

Impact on organization

Whenever possible, it’s important to contextualize the employee’s work with regard to its impact on the company. This can reinforce the value the employee’s actions have had on the bottom line, the company culture, customers, or employees. It’s a powerful way to connect employee work to the organization as a whole.

An example:

By landing the Simons contract, you have helped us meet one of our primary business goals this year. It’s an inroad into a new market segment and an opportunity to expand our reach significantly. We will be ramping up our research, marketing, and product development in new ways, thanks to your great work.

Rewards and recognition

The correspondence should inform the employee of any special rewards or recognition they are to receive as a result of the good work referenced in the letter. Sharing this news is a great way to acknowledge and thank them again for their excellent performance. Here is an example:

Your work in this area deserves recognition. You have been named the winner of the Extra Mile Award, for going above and beyond what is expected. We will be recognizing you at this quarter’s all-hands meeting and the award comes with a $500 bonus.

Tie-in to company mission and values

When you can connect an employee’s work to your company’s mission and values, it underscores the commitment your organization has to those values.

Here is an example:

Scott, your success is a great example of company values I hold dear: Persevere and Persist. By not giving up on Simons, you demonstrated those values. Your belief in our products and service made the difference.

Here is a sample letter to recognize an employee for an exceptional job done with a challenging (yet important) client. As you can see, the employee’s supervisor, colleague, and client all praised the work done.

When should you write an employee appreciation letter?

You can use an employee appreciation letter for many occasions. Those circumstances can be major events, milestones, achievements, or simple pats on the back or acknowledgments.

Here are some circumstances and situations that are generally appropriate for sending an employee appreciation letter:
