Custom Roles: Tailored Access for Your Growing Team

As your team grows, you may need to give different employees varying levels of access to payroll and HR tools. That’s where Custom Roles come in. This feature allows you to create personalized roles for team members, giving them the right level of access to do their job effectively, so you can delegate with confidence.

With Custom Roles, you can easily delegate responsibilities—whether it’s managing payroll, approving PTO and expenses, or handling other HR tasks—without worrying about giving unnecessary access to sensitive information or workflows.

Creating a Custom Role is simple, with four easy steps:

  1. Select the Basic role and assign permissions specific to the role you want to create.
  2. Define who this role applies permissions to—either direct reports, individuals, or groups, such as department or location.
  3. Assign employees to this role.
  4. Name the Custom Role to fit your needs.

Once created, you can edit roles and adjust permissions as your needs change. For larger teams, you can manage permissions at scale with group assignments.

The Simple plan includes one custom role, the Plus plan provides up to five, and the Premium plan offers unlimited custom roles. Admin roles remain unchanged.

Payroll Approvals: Streamlined Collaboration for More Accuracy

Payroll accuracy is crucial, and Payroll Approvals help ensure your team is aligned before finalizing payroll. This feature is especially useful for larger teams with multiple payroll admins or when external collaborators, such as accountants, are involved in the process, allowing you to request review and approval from the right team members.

Admins can now easily collaborate by assigning permissions and ensuring payroll is reviewed before submission. Once a review request is submitted, approvers get a to-do notification and email to approve or decline the request.

While Payroll Approvals is available on all plan types at no additional cost, the ability to control who can edit versus finalize and submit payroll is exclusive to the Plus and Premium plans. This added flexibility makes it ideal for businesses with complex workflows or external collaborators.
